Email Notifications

Various work order operations (automatically or at the request of the approver) submit emails to users involved with the work order. If the work order owner selects a skill area rather than an individual person, the system will not send emails to all persons related to that skill.

The appropriate prerequisites must be established in order to receive emails of this type. The following settings located under the person's User Account Information topic must be turned on:

  • Receive Approval Emails
  • Receive Work Exchange Emails
  • Receive Work Task Skill Emails

Also, the user’s email address must be entered in the Description field of the person's Directory Entries topic.

The following table describes the events that create system emails and to whom those emails will be delivered.

Approve a work order Automatically Person assigned to the first work task
Reject a work order Optional Work order owner
Cancel a work order Automatically Work order owner
Complete a work task Automatically Person assigned to the next work task
Rework a work task Automatically All persons who completed the previous work tasks
Complete the last task of a work order Automatically Work order owner

The emails contain the work order number, name, description, and comments. The Comments section details the reason given for cancellation, rejection, or rework that was entered by the user.

Rejecting a work order is the only function that allows the user the option of not sending an email. If the user chooses not to notify the work order owner, no email will be generated and the rejecter is not asked for a rejection reason.
