Working with Folders

The Explorer section of the Navigation pane lets you view or manage the global folder structure of the community.

A folder is an object that is used to group other objects. In a new community, there is no folder structure in place, so you can set up a different folder structure based on the needs of each community.

You can create folders, set security on folders, and add objects to folders. You can also publish the contents of a folder to a single package.

Note: When an object in a folder has related documents, only the related documents whose Relationship type is Child are displayed below the object in the folder. To see all of an object's related documents, simply select the object in the folder and then expand the Documents topic in the Content pane.

To Browse Folders

  1. Click the Home icon to get to the Navigation pane.
  2. Set Navigate to Explorer.
  3. Click the plus (+) symbol next to any folder to expand it.
  4. Click the folder, or any object in the folder, to open that item in the Content pane.

To Create a Folder

  1. Select where you want to create the folder.

    To create a folder directly under the System root folder, click the Explorer folder.

    or

    Click some folder or subfolder under the Explorer folder.

    The selected folder opens in the Content pane.

  2. In the Task pane, click the Add Folder link.

    The Create Folder dialog opens.

  3. From the Scope list, select the data scope you want the folder to be created under.
  4. In the Folder Name field, enter a name for the folder.
    Note: Folder names must be unique within a folder.
  5. Click the Add Folder button.

    The new folder is created at the root of the selected folder.

    Expand the Folders topic in the Content pane to see the new folder. You may need to refresh your browser to see the new folder in the Navigation pane.

To Rename a Folder

  1. In the Navigation pane, select the folder you want to rename.

    The selected folder opens in the Content pane.

  2. In the Task pane, click Edit.
  3. Under the Properties topic, in the Name field, change the name of the folder and click either Save or Save and Close.

To Add an Object to a Folder

  1. Select the folder you want to add object(s) to.

    The folder opens in the Content pane.

  2. In the Task pane, click Edit.
  3. Expand the topic you want to add objects to and click the Add button.

    The Create Folder Relationship window opens, presenting you with several ways to select the object you want.

  4. Depending on the type of object you are adding, you can select from one of the following options:
    Option Description
    Add new documents to the parent object Lets you create a document from a template, and then add the new document to the folder. If you select this option, you then need to enter a name for the new document in the Title field, select a template from the list, then click the Create button (below the Title field).

    This option is only available for documents. If there are no approved document templates available, you will see the message, "There are no templates available to add a document."

    Enter names and numbers Lets you enter either the name or number of the object you want to add.
    Select objects from Basket Lets you select objects to add from your basket.
    Use the search Lets you use an extended search to search for the objects you want to add. If you do not enter any search criteria, the search will search for all objects of the type you are trying to add.
  5. After you select the object(s) you want to add using one of the methods above, click Relate.

To Remove an Object from a Folder

  1. Select the folder containing the object you want to remove.

    The folder opens in the Content pane.

  2. In the Task pane, click Edit.
  3. Expand the topic containing the object you want to remove.
  4. Click the check box next to the object you want to remove, then click the Remove button.

    The object is removed from the folder.

Note: This action does not delete the object from the community.

To Delete a Folder

  1. Expose the folder you want to delete in the Content pane.
  2. Click the Delete link in the Task pane.
